Payroll Cards
In 2024, Western made the decision to move away from paper paychecks to align with our sustainability goals. Knowing what a payroll card is and how an employee might wind up with one is important for all employees and their supervisors, whether new or current.
Payroll card FAQ's
A payroll card is a prepaid, reloadable card that works similarly to a debit card. It is our alternative for employees without a bank account. They are also known as “Focus cards.” Payroll is able to answer questions such as pay dates and deposit amounts, for any questions specific to the card, such as activation, replacement, or account balance inquiries, you will need to contact the card issuer's customer service department 1.877.474.0010 or www.usbankfocus.com.
Employees are automatically enrolled into a payroll card if they do not add a direct deposit into Web4U after their first paper check. A payroll card disclosure is mailed out to the employee’s W2 address with their first check. Following the first paper check, an envelope containing the card will arrive within 7-10 business days. This envelope is sent direct from the card’s issuing bank, and has non-descript branding for security purposes. Instructions on how to get started with the card are found inside.
If you don't receive your card contact the Treasury Services department at treasury.services@wwu.edu. They can assist you in getting a replacement card.
Payroll card bank information can be inactivated via Web4U and replaced with new direct deposit information. After, be sure to deactivate the card with issuing bank to ensure no remaining balances are on the card to avoid fees. To update your direct deposit, follow these instructions.
Some things for your employee’s check in on:
• Was their timesheet submitted and approved by the 12 pm deadline?
• Is their bank account information correct and active?
• Do they have a current W-2 address on file?
Fees. There are no annual charges to use a payroll card. However, inactivity fees for those with a remaining balance may occur. If you lose the card, the first replacement is free. Subsequent losses will have a $5 fee.
