Submitting Timesheets
WWU pay periods run from the 1st of the month through the 15th and from the 16th through the last working day of the month unless otherwise posted. Time sheets are submitted by 11:59pm on the last day of the pay period. The WWU work week is Monday-Sunday.
Salaried Student Employees (Including Graduate TAs and RAs) Timesheet Usage
Salaried student employees now have timesheets on Web4U. These timesheets are only to be used for recording paid leave.
- If no leave is taken during a pay period, no action is required. Hours will be processed automatically.
- If paid leave is taken, the requested leave hours must be recorded and submitted. Timesheet approvers only need to review and approve timesheets in these cases.
There are no changes to the process for hourly student employees; they should continue recording time worked as usual.
Additionally, all student employees must complete a Request for Leave esign form to document any leave taken, regardless of timesheet submission.

Pay Rates
Pay rates for ESEs are determined by the WWU-WAWU CBA. To ensure parity, the University made the decision to align all non-union student employee pay rates with union-represented student employees.
Holiday Pay
Hourly student employees are not paid for holidays unless worked. If the employee works on a holiday, they are paid at their regular wage rate unless the time pushes them into overtime.
ESE-Specific Holiday Pay
In accordance with Article 18.3 Holiday Schedules and Holiday Pay, in the WWU-WAWU CBA, hourly ESEs will be paid time and a half for any hours worked on a recognized holiday. You will need to use the code OVT for overtime on the holiday you work in order to be paid for time and a half. If you report working normal hours on a holiday you will be paid at your usual rate and not be paid at time and half.
Overtime Pay
Student employees are not eligible to work overtime, which means working over 40 hours per work week.
Due to the nature of certain positions, and cyclical demands, it is recognized that hourly student employees may occasionally work more than a 40-hour work week. In these cases, WWU will pay the employees their regular hourly rate plus Federal overtime provisions included in the Fair Labor Standards Act (FLSA) require employers to pay overtime for hours worked over 40 hours in a work week.
Department of Labor: FSLA Overtime Pay
The work week begins at 12 midnight on Monday and ends at 11:59 p.m. on Sunday. A student will receive regular hourly pay for the first 40 hours during the work week.
If applicable, the student should record all hours beyond 40 into the “Overtime” line in their timesheet. Employees receive time and a half their regular hourly rate for overtime.
It is important that the timesheet approver reviews the total hours worked in the work week, which may occur in two different pay periods. The department will be charged time and a half for all hours worked beyond 40 in a work week.
Health Insurance
Article 21.5 of the WWU-WAWU CBA states Graduate ESEs in salaried positions of at least .25 FTE shall receive 100% premium coverage for the University-sponsored student health insurance plan during the term of their appointment if they elect coverage.
ESEs may, at their election and expense, insure dependents and obtain additional insurance offerings subject to the terms of the insurance plans.
